MIS Department Policy & Procedure
1. Open the FFRS file in Excel
2. Delete the first 4 rows (Header Information)
3. Save file as H:\Data\FFRS\FireDeptHours.xls
4. In H:\Data\FFRS\AvailableHours.mdb, run "CreateUneditedHoursTable_1"
5. Copy the StartTime Column and paste it back in the StartTime Column but 1 record lower (Do about 1/2
of the records at a time, ending each paste on a blank record)
6. Delete the first record
7. Edit the date range in the "CreateSelectedHoursTable_2" query. (Set the range from the last day of the previous
month to the first day of the month after the reporting month)
8. Browse the data and delete or update records not in the report month.
a. As an example, if the reporting month is July 2011, delate any records with an end date before July 1st.
b. Next if the end date is => July 1st and the start date is in June, set the start date as 7/1/2011. Don't enter
a time, it will default to midnight.
c. Delete any records with a start date in August
d. If the start date is in July and the end date is in August, set the end date to 8/1/2011. Again don't enter a
time.
9. Run "ComputeHours_3" to create the final table for the report.
10. Change date on both reports and then run DetailReport and SummaryReport, save as a PDF.
